Privacy policy

TopOff is a workplace tool: fleets use it to steer fuel purchases and verify savings. This policy explains what the TopOff mobile app and services collect, how we use it, and the choices you have. It's written to be read, not skimmed past.

What we collect

Account and profile

• Name and truck/unit number, entered by the driver at setup, used to credit fill-ups and bonuses to the right person and vehicle.
• The fleet workspace (tenant) the driver belongs to.

Location

• Foreground location only, while the app is open, used to find and rank nearby fuel stations and to power route-mode suggestions.
• The app does not collect background location and does not track drivers between sessions.

Fill-up activity

• When a driver taps to log a fill-up: the chosen station, fuel grade, timestamp, truck number, and a snapshot of nearby market prices at that moment.
• Fuel-card transaction data supplied by the fleet (station, date, gallons, price), used solely to verify fill-ups and compute savings.

Device and diagnostics

• App version and platform (e.g., iOS/Android), captured on sign-in to help fleets keep testers current and to debug issues.
• Basic error logs. We do not use third-party advertising or cross-app tracking SDKs.

What we use it for

• Showing nearby fuel prices and computing effective-price rankings.
• Matching logged fill-ups to fleet fuel-card transactions and computing verified savings and driver bonuses.
• Producing fleet-level reports (savings, adoption, per-driver rollups) for the driver's own fleet.
• Support, debugging, and keeping the app working.

What we don't do

• No sale of personal data. No advertising. No data brokers.
• No personal payment cards, TopOff never collects or processes driver payment credentials.
• No pooling of one fleet's data into another fleet's view. Workspaces are isolated.
• No background location tracking.

Sharing

Driver activity (fill-ups, savings, bonuses, app version) is visible to the driver's own fleet, that's the product. We use infrastructure providers (cloud hosting, mapping/price data) to run the service; they process data on our instructions. We disclose information if the law requires it. We don't share otherwise.

Retention & deletion

Fill-up and savings records are retained while the fleet's account is active, because they're the audit trail behind paid bonuses. Drivers can request deletion of their profile through their fleet or by emailing us. We delete or de-identify personal data when it's no longer needed for the purposes above.

Security

Data is encrypted in transit, access is scoped per fleet workspace, and production access is limited to the founders. A security summary for IT review is available on request.

Children

TopOff is a workplace tool for licensed drivers and is not directed to children under 16.

Changes

If this policy changes materially, we'll note it here with a new "last updated" date and inform active fleets by email.
